Purpose and background data processing

If you send us an e-mail, call or otherwise share (personal) data, we process the information you send us in a manner as to the nature of the contact or the content of your email is necessary for the handling or further processing in our Administrative systems. From customers, suppliers and employees we process the data necessary for the execution of the relationship and the retention obligation imposed on us by the legislator and the competent authority (e.g. the Tax Office, Labour Inspectorate).

Below is stated which data we collect and where we store this data.

• You are a customer:
  We collect the address details (street, House number, PO Box, City, department), the general e-mail address, the general telephone number, the Internet address (WWW), VAT number, KvK number, the full names of our Contacts, the telephone number and e-mail address of our contacts, the functions of the contacts, the email address for the invoicing, the creditor number you assign to us, an IBAN bank account, a reference number that you assign to us . We use the data for entering into, maintaining, demonstrating a sales relationship, including sending quotations, (general) conditions, progress reports and sales invoices resulting from a contract/agreement.
• You are a supplier:
  We collect the address details (street, House number, PO Box, City, department), the general e-mail address, the general telephone number, the Internet address (WWW), VAT number, KvK number, the full names of our contacts, the telephone number and e-mail address of our contact persons, the functions of the contact persons, the e-mail address for the invoicing, the debtor number you assign to us, an IBAN bank account, a reference number which you assign to us. We use the data for entering into, maintaining, demonstrating a purchasing relationship, including the payment of the compensation due resulting from a contract/agreement.
• You are an employee:
  We collect the full names, the address details (street, House number, PO Box, city), the private phone number, the private e-mail address, the date of birth, the citizen service number, an IBAN bank account, a copy of a valid identity document . In addition, we keep the information about the employment relationship (contract, salary data). We use this information for the purposes of entering into, maintaining, demonstrating the employment relationship, including the provision of the contractual remuneration and the registration of any business property that has been given on loan.

We will keep the information you provide for as long as is necessary for your relationship with us, for a relationship we are looking for and as long as we have a legal obligation to do so. We adhere to the requirements of the General Data Protection Regulation (GPDR) and Dutch legislation. We only process those data that are necessary for the execution of the relationship and promotion (approach of (old) relations for the purpose of acquiring new assignments) of incertex. We carefully handle your data. The data are only provided to individual employees based on need-to-know for the execution of the contract/relationship. We do not share (personal) data with third parties other than our administration office with whom we have a processing agreement.

Security

All (personal) data is stored on a secure server and hardcopy in a closed secure area with restrictions for inspection.

Inspection, correction and right of opposition

If we process data from you, you will have the possibility to view your personal data after written request.
